1. What this is
Mekena keeps the records of a vehicle: services and their due dates, insurance and inspection expiry, documents, photographs, costs — and, for fleets, the drivers who rent those vehicles, the rent they owe, and the days they take off.

By creating an account or using Mekena you accept these terms. If you do not accept them, do not use it.
2. Two kinds of account
An individual account is for a person looking after their own vehicles. It is limited to two vehicles and does not include the driver, rent or handover features.
A fleet account is for a business renting vehicles to drivers. It has no vehicle limit, and the person who creates it administers it and may invite drivers and staff.
Drivers do not create accounts. A fleet invites them, and their account exists inside that fleet.
3. Your account
- You must be 18 or over.
- Give accurate details, and keep your email address current — it is how you sign in and how we reach you.
- You are responsible for what happens under your account. Do not share your sign-in link or password.
- One person, one account. You may hold both a fleet and an individual account, but each needs its own email address, because signing in is keyed on the address. If you delete an account, its address is released and you may use it again for a new one.
- Tell us promptly if you think someone else has access to your account.
4. The free trial
New accounts start with three months free. No payment details are asked for, and nothing is charged during it.
When the trial ends the account becomes read-only: your records stay, you can still read them, and you cannot add or change anything until the account is put on a paid footing. Nothing is deleted for non-payment.
We are not charging for Mekena yet. There is no price list, no payment method on file, and nothing to cancel. Fleet pricing is agreed individually, in writing, before anything is billed.
Before we introduce charging we will tell you in the app and by email, at least 30 days beforehand, and you will be able to export your records and stop using the service without paying anything. We will never take a payment from you without asking you first.
5. If you run a fleet, you are responsible for the people in it
This clause matters more than the rest.
A fleet account records other people’s personal data — names, phone numbers, home addresses, dates of birth, national ID, passport and driving licence numbers, and photographs of those documents.
By entering that data you confirm that:
- you have a lawful basis to hold and process it, and where consent is what makes it lawful, you have obtained it;
- you have told those people that their data is held in Mekena, and how they can see or correct it;
- you will keep it accurate, and remove what you no longer need;
- you will respond to your drivers’ requests about their own data. We will help you, but the decision is yours.
For that data you are the controller and we process it on your instructions. Our Privacy Policy explains the split. If you need a written data-processing agreement, ask at info@mekena.org — and note it is required, not optional, if you are established in the EU.
6. What you may not do
- Break the law with it, or use it to hold data you have no right to hold.
- Try to reach another fleet’s data, or probe the service for ways to.
- Upload malware, or anything that would put other users at risk.
- Resell the service, or present it as your own product, without our written agreement.
- Automate access in a way that degrades the service for others.
We may suspend an account that does these things. Where it is safe and lawful to do so, we will say why first.
7. Your records belong to you
The records you enter — vehicles, costs, drivers, photographs — are yours. We do not sell them, and we do not use them to advertise to anyone.
We may look at anonymised, aggregated figures — how many vehicles a typical fleet runs, how often a reminder is acted on — to work out what to build next. Nothing in that can identify you, your drivers or your vehicles, and we do not publish or sell it.
You can export your payments, expenses, services, charges and deposits as CSV from inside the app, whenever you like, including on the day you leave. Ask at info@mekena.org for anything the export does not cover and we will send it within 30 days.
8. Deleting your account
You can delete your account yourself, in the app. It ends your access permanently and you will not be able to sign in again.
Your personal details are erased straight away: phone number, date of birth, home address, national ID, passport and driving licence numbers, and every photograph of your documents. Push notifications stop on every device. Your email address is released, so you can open a new account with it later.
It does not erase the fleet’s financial records. Payments, expenses and vehicle history remain, because they are the accounting records of a business and one person leaving does not rewrite them. Your name stays on those entries for twelve months after you stop driving, so the books can be audited, and is then removed automatically. The Privacy Policy sets out the detail, including what this cannot reach.
If you are the only administrator of a fleet, deleting your account leaves that fleet without one. Its drivers keep working, but nobody can approve days off or manage vehicles until an administrator is appointed. The app warns you before you confirm.
To close a fleet down entirely rather than leave it yourself, write to info@mekena.org. We will export everything you ask for first, then remove the fleet and its records.
9. Availability
We try to keep Mekena running and to keep your data safe, but we do not promise it will be uninterrupted or error-free. It is a record-keeping tool, not a safety system: do not rely on it alone for anything that matters legally or physically — an insurance renewal, a technical inspection, a vehicle’s roadworthiness. Reminders are a convenience, and the obligation stays yours.
We make no uptime guarantee. If you need one, it has to be agreed in writing and separately.
10. Liability
Mekena is a record-keeping tool, not a safety or compliance system. We work to keep it accurate and available, but we cannot promise it is free of errors. §9 explains why you should not rely on it alone for anything that matters legally or physically — an insurance renewal, a technical inspection, a vehicle’s roadworthiness. Those obligations stay yours.
We do not exclude or limit our liability where the law does not allow us to, and nothing in these terms takes away rights that consumer-protection law gives you.
If you believe you have suffered a loss connected with Mekena, write to info@mekena.org with the detail. We would far rather hear about it and put it right than have you find out what a clause says.
11. Changes to these terms
We may update these terms. If a change is significant we will tell you in the app before it takes effect. Continuing to use Mekena after that means you accept the new terms.
12. Ending it
You may stop using Mekena at any time and delete your account.
We may end or suspend your access if you break these terms.
If we stop offering Mekena altogether, we will give you at least 90 days’ notice in the app and by email, keep the service running and readable for that whole period so you can export everything, and then delete it. We will not switch it off without warning, and we will not hold your records hostage.
13. Law and disputes
These terms are governed by the law of the Republic of Armenia, and disputes are heard in the courts of Yerevan.
If you are an individual using Mekena for your own vehicle, consumer-protection rules where you live may give you rights this clause cannot take away, and nothing here is meant to.
Before going to court, please write to info@mekena.org. Most things are quicker to fix that way.
